Have a clear understanding of the mission, vision and goal of the gathering. Every event has its own distinct planning method different from that of the other. Your goal as a planner should be to meet all the goals and objectives listed by the church. Have financial estimates for the entire event. The first step towards any plan should be budget estimates. A budget lets you know the amount of money at your disposal. Determine the use of the cash even before spending it. Strive to ensure that time value for money is attained. The budget should give a brief of the marketing material, food, rental and supplies. Consider all these expenses when drafting the final budget.

Develop an expected marketing plan for the church. Depending on the age, gender and sex of audience needed in the conference. If only the congregational members are requited, notices on the various noticeboards would be appropriate. The internet, radio and television would be more appropriate when the audience involves people who may be part of the congregation or not. Have the right information circulated to the correct people in advance.

Develop a schedule of activities that detail the activity to be done, the time to do the activity and the person to do the same. Having a work plan makes supervision easier and also holds people accountable for the actions that they did or did not do. A work plan helps note any abnormal happening that arises and ensures that the solution for the same is timely.

Get a concrete plan on the type of food that congregants and gusts will eat. So. Irrespective of who will be sponsoring the meals, plan the food details in advance. The type of meal you select should support the theme of the event. Having a plan of the items to eat, gives the guests a greater food experience.

When creating and placing decorations, be careful. Have a creative person who understands the mission, vision and goal of conference do the decoration for you. Always remember that the decoration you place on the venue may make the conference successful or turn it to a mediocre.

Gather relevant materials that will make your planning easier. Some of these will include the church chain of command as detailed in the organizational chart. This will help you address certain queries and concerns to the right channel. Follow your work plan and budget to avoid hiccups and delays in service delivery.
